CLIENT ONBOARDING

Start the relationship with everything in its place.

Client Onboarding turns a confirmed project into the right information, documents, tasks, spaces, and next steps without rebuilding the process by hand every time.

IN PLAIN ENGLISH

A customer says yes. The system sends the welcome information, collects what is needed, creates the right folders and tasks, and shows your team what remains unfinished.

  1. 01 A customer confirms the project
  2. 02 The system organizes information, documents, and tasks
  3. 03 The team receives a project ready to begin

THE PROBLEM

The sale is complete. The confusion should not begin.

New clients often enter through a patchwork of email, attachments, calendar links, shared folders, accounting records, and internal reminders. Staff repeat the same setup work while clients wonder what happens next.

A designed onboarding system creates one clear sequence. It asks only for what is needed, puts information in the correct place, prepares the team, and shows everyone what remains incomplete.

THE WORKING SEQUENCE

What happens, in order.

  1. 01Agreement or deposit is confirmed.
  2. 02The client record is created or updated.
  3. 03The correct welcome message and intake are issued.
  4. 04Project folders, tasks, and internal records are created.
  5. 05Required documents and information are tracked.
  6. 06The next meeting or service step is scheduled.
  7. 07Incomplete items are followed up according to approved rules.
  8. 08A person receives the completed onboarding summary.

Illustrative workflow. The sequence shows the intended order of an approved build, not a guaranteed performance level.

WHAT THE SYSTEM HANDLES

The repeated work.

  • Welcome communication.
  • Intake forms.
  • Document requests.
  • Folder and workspace creation.
  • Project task templates.
  • Calendar scheduling.
  • CRM and accounting record updates.
  • Completion reminders.
  • Internal summaries.
  • Status reporting.

WHERE A PERSON REMAINS RESPONSIBLE

The judgment.

  • Contract approval.
  • Financial exceptions.
  • Sensitive personal information decisions.
  • Custom scope decisions.
  • Relationship management.
  • Approval of unusual client requests.

SUITABLE CLIENTS

Built for the work that repeats after every yes.

Best for professional services, construction and design firms, consultants, agencies, property services, associations, and businesses that repeatedly create the same client records and documents.

Not suitable for a business whose onboarding process changes completely for every client or has not assigned ownership for exceptions.

SETUP

How the build runs.

  1. 01Observe the current onboarding process.
  2. 02List every document, message, record, and decision.
  3. 03Remove unnecessary steps before automating.
  4. 04Define standard paths and exception paths.
  5. 05Connect only the required systems.
  6. 06Test with sample clients and incomplete information.
  7. 07Launch with a named process owner.

INVESTMENT

A complete onboarding path from $3,500.

Final scope depends on the number of client types, forms, documents, systems, approval steps, and exception paths. Software usage, messaging, telephone, and third party platform costs are separate. Ongoing monitoring and improvement can be quoted separately.

Larger or connected systems receive a custom proposal, normally beginning around $7,500.

All prices are in Canadian dollars. Applicable taxes and third party costs are separate.

WHAT THE CLIENT RECEIVES

  • Welcome sequence.
  • Intake forms and document requests.
  • Folder and task creation.
  • Scheduling and reminders.
  • Completion summary.
  • Exception and human handoff rules.

QUESTIONS

Answered plainly.

Will clients know the process is automated?

They should experience a clear and responsive process. Messages must remain honest, and the client must always know how to reach a person.

Can this create folders and project tasks?

Yes, when the chosen tools provide reliable connections and the folder and task rules are clearly defined.

Can it collect confidential documents?

Only through an approved secure method. Sensitive documents should not be sent through ordinary email or placed into an AI system without a documented privacy and security review.

What happens when information is missing?

The system identifies the missing item, sends the approved reminder, and escalates to a person when the deadline or exception rule is reached.
